What we automate

The highest-value automations are the ones you do every day and barely notice — until you count the hours. Copy-pasting data from an email into a CRM. Creating an invoice from a job. Notifying a field crew when a booking changes. Scanning a PDF purchase order and updating stock levels. Screening 200 CVs for a role. None of these are hard tasks individually. They are just death-by-a-thousand-cuts tasks that add up to 20+ hours per week for most SMBs.

We focus on the tasks that are both high-volume and low-judgement. The ones where a human adds no meaningful value but still spends significant time. Those are the workflows where automation delivers clear, measurable ROI within the first quarter.

Example automations

CRM ↔ Accounting Sync

New deal in HubSpot/Pipedrive → quote in Xero/MYOB. Deal marked won → invoice created. Payment received in Xero → CRM status updated automatically. Eliminates 3–5 hours per week of data entry for a typical SMB.

Job Completion → Invoice Pipeline

When a job is marked complete in ServiceM8 (or your field service tool), the system generates the invoice in Xero, emails it to the client, creates a follow-up task for 14 days later, and logs the cycle time.

Lead Intake Workflow

New enquiry from website form, Gmail, Instagram DM, or Facebook lead form → automatically enriched with company info, routed to the correct salesperson, logged in CRM, and triggers a personalised follow-up email within 60 seconds.

Staff Onboarding Pipeline

New hire created in HR system → automated document collection (Working with Children check, ID, visa, tax file number), contract generation via DocuSign, first-day notification to their manager, and equipment request ticket.

Compliance & Renewal Tracking

Automated scans of staff documents, vehicle registrations, insurance policies, and licences. Tiered reminder workflow starting 60 days before expiry — no more last-minute compliance surprises.

Purchase Order Automation

Inbound PO email (PDF or structured) → AI extracts line items → stock check in ERP → confirmation email with real delivery dates → invoice generated automatically. From 15 minutes of manual work per PO to under 60 seconds.

Our approach

  1. Discovery workshop. Two hours with your operations team. We catalogue your top 20 recurring workflows and score each on effort-to-automate vs time-saved.
  2. Prioritisation. You get a ranked roadmap. We always recommend starting with the highest-pain workflow, not the easiest one — the ROI is more convincing.
  3. Build. Each workflow is built in N8N, tested against real data, and shipped with error handling and failure notifications.
  4. Integration. We connect to your existing systems via their APIs. No software replacement required.
  5. Handover. We document every workflow, give you admin access to N8N, and train your team to make small edits themselves.

Frequently Asked Questions

What is business process automation?

+
Business process automation (BPA) is the use of software to perform recurring business tasks with little or no human intervention. Examples include syncing a CRM to an accounting system, creating an invoice automatically when a job is marked complete, sending a pre-filled contract when a quote is accepted, or routing a new support ticket to the correct team based on its content. Modern BPA uses API integrations for structured tasks and AI for unstructured tasks like reading emails or classifying documents.

What is N8N and why do you use it?

+
N8N is an open-source workflow automation engine — similar to Zapier or Make, but self-hosted and significantly more powerful. It lets us build visual workflows that connect APIs, transform data, and run conditional logic. Because it is self-hosted, your data never leaves your infrastructure. Because it is open source, you are not locked into vendor pricing. We run N8N in production for every client and deliver the workflows as auditable, editable artefacts you own.

How much does business process automation cost?

+
In Australia, small process automation projects (one to three connected workflows) start at $3,500 AUD. Mid-sized engagements covering a full operations function (5–15 workflows) typically range from $8,000 to $20,000 AUD. Hosting N8N on a small VPS costs around $25 AUD per month; LLM API costs for AI-augmented workflows typically add $30–$200 per month depending on volume.

Is N8N better than Zapier or Make for Australian businesses?

+
For businesses automating more than 5–10 workflows, yes. Zapier charges per-task, which becomes expensive fast. Make is cheaper than Zapier but still per-task. N8N is self-hosted with unlimited executions, so you pay for infrastructure (cheap) rather than per-action (expensive). For very small workflows where you only run a few hundred actions per month, Zapier can still make sense.

Can you automate processes that involve unstructured data like emails and PDFs?

+
Yes. This is where AI-augmented automation shines. We use LLMs (Claude, GPT) inside N8N workflows to classify emails, extract data from PDFs, summarise documents, and make routing decisions that require human-style judgement. Before modern LLMs, these tasks needed complex rules engines or custom machine learning models. Today, a well-prompted LLM handles them reliably with confidence thresholds for edge cases.

How long does it take to build an automated workflow?

+
A single-workflow project (e.g. new lead in HubSpot → create Xero quote + send email + notify Slack) takes 1–2 weeks including testing and handover. A multi-workflow engagement takes 3–6 weeks in prioritised increments. We always ship the first working pipeline within 7–10 days so you see tangible value before the full project is complete.

What happens if a workflow breaks?

+
Every workflow we build includes error handling and failure notifications. If a step fails — an API is down, a credential expires, a record is malformed — you get a Slack or Telegram alert with the exact context. We also run monthly health checks for all clients on a retainer and fix issues proactively. For standalone projects, we provide 30 days of post-launch support included in the quoted price.
